Accurate text-to-text transcription and document typing services

We retype documents into an editable Microsoft Word (.docx) or text (.txt) format. At your request, we can add basic formatting and style elements, such as titles and subtitles, page numbers, dot leaders, tables, etc. We can also proofread the original copy.

We can transcribe your documents from a digital copy, like a PDF or JPEG file, or a hard copy, such as a textbook.

How do I receive a quote or request additional info?

Send us a message, and we’ll respond promptly. To receive a quote as quickly as possible, email us a sample of your source documents, or request a link to a secure, encrypted upload folder where you can upload your samples.

How do I get my documents to you? How will you return them to me?

There are a couple of ways you can share your source files with us:

  • You can send them to us via your preferred file-sharing program, such as Dropbox, Google Drive, or SharePoint.
  • We can create a secure, encrypted folder where you can upload your documents in PDF, JPEG, or PNG format.

For receiving your retyped documents, you can choose from the following options:

  • We can email them to you (for non-confidential projects).
  • We can send them via a secure, encrypted email service.
  • We can create an encrypted, password-protected downloads folder where you can retrieve your completed documents.

I’d like a quote, but my documents contain sensitive data. Will you sign a confidentiality agreement first?

Yes, we’ll review and sign your confidentiality agreement or NDA before receiving your source documents. If you don’t have a confidentiality agreement on hand, we can provide one if your project requires it.

In addition, all of our typists sign a confidentiality agreement when they start working with us.

Will my retyped document retain the same formatting as the original?

We copy over inline elements, such as paragraphs, bold and italicized text, subheads, lists, charts, signature lines, block quotes, endnote reference numbers, etc., wherever these appear in the original text.

We use the default settings in Microsoft Word for design elements like page layout, margins, line spacing, and font style.

What file formats do you accept?

We accept common digital media file formats, such as PDF, JPEG (for example, an iPhone photograph of handwritten notes), and PNG (for example, a web screenshot). You can also send a USB drive or hard copy of the text via postal mail.

Do you accept drop-offs? Can I mail you a hard copy of the document?

We don’t accept drop-offs; however, you can mail your documents to us. Please ensure you have a copy of your documents first, as we can’t be held responsible for lost or damaged items.

If possible, you may wish to create and send us a digital copy by scanning pages or taking photographs of the document with your smartphone. (Take care to produce clean images for the lowest pricing.)

How does pricing work?

We price our typing services per page or per word so that you know the cost up front. Rates vary depending on the legibility and approximate word count of the source material.

What payment methods do you accept?

We accept payment securely online via debit or credit. Depending on your location, we may also accept checks and Interac e-Transfers.

What’s your turnaround time?

We strive to accommodate clients’ requested turnaround times. Often, we turn projects around early.

Do you convert PDFs to text using OCR or other automatic technology?

No. OCR technology produces a lot of weird errors. We manually and accurately retype your documents, taking care to preserve inline style elements, such as paragraphs, bold and italicized text, subheads, lists, charts, signature lines, block quotes, endnote reference numbers, etc.

Do you service areas outside of Calgary?

Yes! We provide typing services to clients across North America.

Do you provide other virtual assistant services?

Yes. We also provide audio transcription and proofreading and editing services.

Do you provide other data entry services?

Yes – for example, we can type contact information into an Excel spreadsheet.

Do you type physician correspondence?

No. We are not a medical transcription agency, and we don’t transcribe patient data at this time.

Do you provide on-site typing services, such as taking meeting minutes?

No, we don’t provide on-site minute taking services. However, we can transcribe your recorded conference calls and business meetings, resulting in a highly accurate record of the meeting.
